CoSA Mayday

On May 1, 2008, the Council of State Archivists (CoSA) will join archives, libraries, museums, and historic preservation organizations across the United States to observe MayDay, a national effort to protect collections from disasters.

We all know that it's easy to put off disaster planning. MayDay asks you to take personal and professional responsibility for doing something simple -- something that can be accomplished in a day but that can have a significant impact on an individual's or a repository's ability to respond.

You might update your Pocket Response Plan (PReP), conduct a drill, invite first responders for a tour, or hold a workshop to inform others about how to prepare for and recover from disasters.

Call for Nominations: 2007 Waldo Gifford Leland Award

Have you read a great new book about archives? Have you come across an exceptional finding aid for a newly-processed archival or manuscript collection? Have you encountered a documentary publication that is head and shoulders above the rest?

If you have, why don’t you consider nominating it for the Waldo Gifford Leland Award?

The Leland Award subcommittee of the Society of American Archivists invites you to nominate a monograph, finding aid, or documentary publication published in North America in 2007 for the Waldo Gifford Leland Award. (Please note: periodicals are not eligible.) The prize is awarded each year to encourage and reward "writing of superior excellence and usefulness in the field of archival history, theory, and practice."

Established in 1959, the award honors American archival pioneer Waldo Gifford Leland, president of the Society of American Archivists in the 1940s and one of the driving forces behind the founding of the National Archives.

Archives Month

Mississippi Celebrates Archives Month all across the state

For the month of October, archives and repositories across Mississippi will host various events and activities in celebration of Archives Month. Mississippi’s statewide participation, coordinated by the Society of Mississippi Archivists, The Mississippi State Historical Records Advisory Board, and the Mississippi Department of Archives and History is an extension of the national celebration of American Archives Month sponsored by the Society of American Archivists.  Archives Month is a way to raise public awareness by calling attention to the role various organizations play in preserving historical and cultural records. 

This year’s theme, "Faces of Mississippi," allows archives to showcase their multifaceted collections that represent a rich and diverse state.  Organizations are participating in a variety of ways from hosting exhibits to conducting tours.  Listed below are just some of the events across the state planned for Archives Month.

Archives are locations were collections and records of historical value are maintained, preserved, and made accessible to the public. They may be located in historic societies, academic or public libraries, court houses, corporations, or governmental entities. The first celebration of Archives Week can be traced to the Archives Round Table of Metropolitan New York in New York City in 1989.  More information on archivists and American Archives Month can be found at the Society of American Archivists website at www.archivists.org.

  • History is Lunch series hosted at the William F. Winter Archives and History Building that will include various topics and presenters.  ALL EVENTS ARE OPEN TO THE PUBLIC.  PLEASE BRING YOUR LUCH TO THE NOON DAY EVENTS.  The schedule is as follows:
    • October 3 at 12 p.m. Keith Baca speaking on "Native American Place Names in Mississippi"
    • October 10 at 12 p.m. David Weaver on "Black Diva of the Thirties:  The Life of African American Operatic Soprano Ruby Elzy"
    • October 15 at 12 p.m. Randy Kwan speaking on the "Chinese in Mississippi"
    • October 24 at 12 p.m. J. M. Mehta speaking on "Native American Ritual Architecture"
  • October 25 at 5:30 p.m. A presentation by Barnett Taylor on "Tracing Your African American Ancestors" -  REFRESHMENTS PROVIDED.
  • October 1 - An exhibit in the William Winter Lobby celebrating National Archives Month, featuring photographs from its collection highlighting Mississippi’s rich diversity—the many faces of Mississippi.

Columbus-Lowndes Public Library ( Columbus)

  • October 1 - An exhibit titled "Now Playing: Tennessee Williams" that follows the playwright’s career spanning over 30 years through the use of posters and playbills.

Cottonlandia Museum ( Greenwood)

  • Tuesday, October 23 at 12 p.m. Brown Bag Lecture Presentation:  "The Flood of 1927, " Presented by Delta State's Luther Brown. This lecture and PowerPoint presentation guides viewers through the circumstances that led up to the great flood of 1927, as well as the events that followed as a result.  This presentation is free of charge and open to the public.  Visitors are encouraged to bring a sack lunch--the Museum will provide drinks.
  • Tuesday, October 30 12 p.m. Brown Bag Lecture Presentation:  "Beginning Genealogy" Where do you come from?  Who are your people?  This program, presented by Joyce Dixon-Lawson of the Mississippi Department of Archives and History, looks at ways to start a genealogical search for your ancestors.  It is free of charge, and open to the public.  Bring your sack lunch--the Museum will provide the drinks.

Lauren Rodgers Museum of Art Library and Archives ( Laurel)

  • October 1 - 31. A photograph exhibit titled "Labor Pains: Hard Work Builds a Community". The exhibit will include images of Laurel's workforce from 1890-1930. The exhibit will run through the entire month of October.

University of Mississippi Department of Archives & Special Collections ( Oxford)

  • October 5 at 12-1 p.m. Hosting "Preserving Your Family Memories" where members of the department will speak briefly about preservation issues and take questions on protecting your family memories. The event is in the Faulkner Room, third floor of the J. D. Williams Library. You are encouraged to bring examples of photo albums, scrapbooks, or other items for staff to inspect.  Bring a bag lunch as well.

Yazoo Library Association – B.S. Ricks Memorial Library ( Yazoo City)

  • "Creating a County Archives" is a workshop where participants can learn first hand from experienced archivists what is involved with preserving county records in Mississippi from laws governing records to basic archives management.  This workshop is sponsored by the Federation of Mississippi Historical Societies, the Mississippi State Historical Records Advisory Board, and the Mississippi Dept. of Archives and History.

Colonial Dames Scholarship to the Modern Archives Institute

-Scholarship Information:
The Colonial Dames/Donna Cutts Scholarship Committee of the Society of
American Archivists is soliciting candidates for the Colonial Dames
Scholarship to the 2006 Winter National Archives' Modern Archives
Institute. The individual awards cover up to $1200 of the total
tuition, travel and housing expenses.

-Background Information:
The Colonial Dames and Donna Cutts Scholarships were established in 1974
and 2002 respectively and are given in conjunction with the Colonial
Dames of America. The awards provide financial assistance for each of
the two yearly Modern Archives Institutes given by the National
Archives.

To apply, please submit in triplicate a resume, nomination form, and two
letters of recommendation from persons having a definite knowledge of
your qualifications to:

-Modern Archives Institute Information:
The 2-week Modern Archives Institute program provides an introduction to
archival principles and techniques for individuals who work with
personal papers, as well as those who work with the records of public
and private institutions and organizations. It is intended to help
archivists acquire basic knowledge about caring for archival materials

Note: Applicants to the Colonial Dames Scholarship do not have to apply
to the Modern Archives Institute directly unless they are planning to
attend the Modern Archives Institute regardless of whether they are a

University of Kentucky Libraries will be sponsoring this
event again September 12-13, 2007 on the University of
Kentucky campus in Lexington, Kentucky.. The institute is

Participants will have opportunities to get specific
questions answered by experts and will have an opportunity

SOLINET Preservation Workshop

Preservation has a role in all types of cultural institutions as a way of
protecting an institution's investment in the collection. In these days of
ever-dwindling dollars and ever-expanding needs, the importance of preserving
an institutuion's resources has never been more crucial. The life expectancy
of a library or archival collection can be extended substantially and
inexpensively by applying basic, common-sense preservation principles to
current, ongoing activities. This one-day class will outline the features
of a collection care program, demonstrating how all staff have a role
to play in preserving the collection. Introduction to Preservation
emphasizes preventive measures and includes information on the elements
of a comprehensive preservation program, the nature of library materials,
and the mechanisms of deterioration. Discussions will also cover proper
care and handling practices, stack maintenance, staff and user education,
and library binding.
